Privacy policy

Coltiva is a product of Pvot. Pvot is the controller for account and product data processed by Coltiva.

Data we process

  • Account data: email address, display name, preferred language, verification state and password hash when you use password login.
  • Reading data: reading positions, completed chapters, reading sessions, bookmarks, highlights, notes, reading preferences, reading path progress, Scribe typing sessions and typing progress.
  • Profile data: optional avatar uploads, display settings and language or learning preferences.
  • Security and operations data: session records, CSRF/session cookies, audit logs, IP address, user agent, error reports, export requests and bounce status.
  • AI cache data: hashed selected book passages and generated explanations, without account identifiers.

Why we process data

  • To provide the Coltiva account, reader, highlights, notes, export and delete-account features.
  • To secure the service, prevent abuse and investigate operational errors.
  • To remember functional preferences such as language, reading theme and reading level.
  • To send account emails such as verification, magic links, password resets and export notifications.

Processors and hosting

  • Hosting: Netbela VPS in Nederland.
  • Email: Google SMTP or Google Workspace services for account email delivery.
  • AI text processing: DeepSeek for public book generation and selected-passage explanations. Coltiva does not send user IDs, email addresses, notes, highlights or profile fields to DeepSeek.
  • AI image generation: administrators may use an image-generation provider for public covers or visual assets. This uses public book or reading-path context, not private account data.

Retention

  • Account, reading, highlight, note and reading preference data are kept while the account exists.
  • Account deletion removes account-linked reading data through database cascade rules where applicable.
  • Security and error logs are retained only as long as needed for security, debugging and legal accountability.
  • Account export ZIP files are generated for the requester and should be removed by operations after their usefulness expires.

Your rights

You can request access, correction, deletion, restriction, objection and data portability. Use the account export and delete-account tools in settings where possible, or contact info@pvot.nl. You may also file a complaint with the Dutch Data Protection Authority.

Age

Coltiva accounts are intended for users aged 13 and older. Users below the local digital-consent age should use Coltiva only with a parent or guardian.
